Tips for an agenda that keeps meetings short
- Put time limits on every item — and have the president enforce them. An agenda without times is a wish list.
- Owner forum near the top, with a per-speaker limit. Owners heard early are calmer; many states require a forum, and several set the speaker rules.
- Attach reports instead of reading them. Circulate financials ahead of the meeting and take questions only.
- Write motions into the agenda. If a vote is expected, draft the motion wording in advance — it becomes the exact text your minutes record.
- Distribute with proper notice. Most states require advance notice of board meetings, and some (like California) require the agenda to go out with the notice.
