How to Schedule an HOA Board Meeting (1-Minute Video)

Watch the one-minute demo above, then try it on your own board's calendar.

Getting a board meeting on the calendar shouldn't involve a group text, a shared spreadsheet, and three follow-up emails. In HOAmeeting.com, scheduling a meeting takes under a minute — and it does more than save a date, because every meeting you create arrives with the paperwork already started.

The steps in the video

  1. Open the Meetings page and click Schedule Meeting.
  2. Pick the association, then choose the date and time from the calendar and time pickers — nothing to type, so the format is always clean.
  3. Add the location. A clubhouse, a management office, or simply “Zoom” for virtual meetings.
  4. Choose the meeting type — regular, special, or annual — and click Create.

What you get the moment you click Create

The meeting appears on the calendar next to everything else, and it opens with a draft minutes shell already in place: the call to order, the attendance list built from your officer roster, and a spot for every agenda item you'll add. When the meeting actually happens, your secretary isn't starting from a blank page.

That structure matters later, too. The agenda you build on this meeting is where you'll record motions and votes, and the minutes those produce are what the board approves at the next meeting.

Next step: build the agenda

A scheduled meeting still needs an agenda your owners can see before the meeting. Here's how to create the agenda in about two minutes — or start from our free HOA meeting agenda template.

HOAmeeting.com is free for HOA and condo boards — agendas, motions, minutes, and approvals in one place. Create your association and schedule your first meeting.
